Guild officials

Note: this is a unofficial translation of the official organisational strucutre updated 22.10.2024

Guild officials are a group of people who, along with the board, keep the guild functioning and guild members happy. The workload of guild officials is a little less than board members’, but all efforts made for the guild are important, and without active officials, Prodeko wouldn’t the Prodeko we know. Guild officials are elected annually in November one position at a time. Anyone can be an official: the only requirement is guild membership. If there is no position for something you would like to have in the guild, new positions can be established and when needed, additional election meetings can be carried out. Recreational events organised to guild officials in order to improve their well-being and help them keep up their good spirit when doing volunteer work.

There are seven special responsible officials amongst guild official roles. These are the High School Recruitment Responsible, Tutor Responsible, ESTIEM-Responsible, CTO, Seminar Czars, Annual Ball Ringmasters and Chief Editor of Proleko?. Together with the board the special responsibles make up the Guild Council.

Guild official positions

Operations Inspector (2 persons)

• Inspect the operations of the guild

Vice Operations Inspector (2 persons)

• Work as personal vice persons of operations inspectors

Operations Police (2 persons)

• Inspects the operations of the guild. Appointed when external auditors are chosen.

Vice Operations Police (2 persons)

• Work as personal vice persons of Operations Police. Appointed when Operations police are chosen.

Continuity Committee (9-11 persons)

• Makes ideas and helps the board with large projects and long-term development of operations
• Supports and spars board members personally
• Includes two aTalent continuity persons whose task is to support the board when communicating with aTalent and to create continuity.

Harrasment Contact Persons (3-5 hlö)

• Acts according to the Prodeko community’s code of conduct

Long XQ -committee

Long XQ Responsibles (1-3 persons)

• Is responsible for organising the next abroad long excursion
• Reports to the board on the project’s progress

Event committee

Host Team (10-12 persons)

• Make ideas and organise guild events together with Host and Minister of Internal Affairs
• Are responsible for making traditional drink called Thunder and cherish its secret recipe
• Take care for their part for Prodeko’s warehouse
• Organise annual ball week’s party individually

Song Master

• Are part of organising team of sitsit parties
• Leads songs in all sitsit parties of the guild
• Representative of Prodeko to AYY’s Songleader Committee (Lutku)

Songleader (3-4 persons)

• Are part of organising team of sitsit parties
• Leads songs in all sitsit parties of the guild

Songleader Novice

• Help precentors when leading songs in guild’s sitsit parties
• Are part of organising team of sitsit parties together with songleaders

Song Book Committee

• Chosen when new editions of the song book are made
• Are responsible for creating new editions of the Prodeko songbook.
• Chooses the content for the song book
• Manages ordering the books

Freshman division

BIG (=ISO) Responsible

• Is one of the special responsible official roles
• Is responsible for tutor operations of the guild
• Helps Captain of Freshmen Education and Captain of Masters’ and International Students with freshmen operations of the guild
• Represents Prodeko in AYY’s ISO Committee (ITMK)

Responsible BIGs (=vastuuISOs) (6-9 persons)

• Coordinate freshman groups
• Are responsible for their part to familiarize freshmen into guild and teekkari culture
• Are responsible for their part for organising freshman events
• Appointed separately every spring

BIGs (=ISOs) (20-30 persons)

• Coordinate freshman groups
• Are responsible for their part to familiarize freshmen into guild and teekkari culture
• Are responsible for their part for organising freshmen events

Master’s BIGs (=Maisteri-ISOs) (5-8 persons)

• Are responsible for their part to familiarize Master’s freshmen into guild and teekkari culture
• Are responsible for their part for organising Master’s freshmen’s events

International tutors (=KvISOs) (10-15 persons)

• Are responsible for their part to familiarize exchangers into guild and teekkari culture
• Are responsible for their part for organising exchangers’ events
• Appointed separately every spring

Fabu tutors (=FabuISOs) (5-20 persons)

• Participates in fresher’s events and helps to familiarize freshers into guild and teekkari culture

Exchange Ambassador

• Is a link between Freshmen division and exchange students
• Represents exchange students and advocates them in Freshmen division
• Choices are made every Winter and Summer amongst new exchange students

Media division

CTO

• Is one of the special responsible official roles
• Leads web team
• Is responsible for electric services of the guild
• Is responsible for IT systems and IT projects maintain and development

Web team (5-12 persons)

• Maintain and develop Prodeko.org and electric services of the guild
• Work as a IT gurus of the guild

Communications committee

Media Merlins (3-7 persons)

• Plan and develop guild’s comprenhensive communications strategy
• Supports Minister of Media and IT in guild’s communications, social media and content creating
• Are part of Communications division

Social Media Apples (1-3 persons)

• Plans and implements the guild’s social media content together with the Minister of Media and IT

Documentors (3-5 persons)

• Are responsible for photographing and publishing pictures of guild events

• Is responsible for high school marketing as a whole
• Leads the high school team

• Is Editor in Chief
• Is responsible for Proleko Journalist Committee

• Makes the layout of Proleko

• Write in every magazine and develop the journalist direction of the magazine regarding to their interests

Guild Room Committee

Gym Responsibles (1-2 persons)

• Is responsible for gym and developing and maintaining it

Guild Room MacGyvers (1-2 persons)

• Is responsible for guild room and makes ideas to develop it
• Takes care for purchases to guild room
• Manages the guild room library

Dairy girls (1-2 persons)

• Takes care that there are milk, tea, coffee etc in guild room
• Manages the secret recipe of rave milk

Sugar CEOs (1-2 persons)

• Is responsible for food sold in guild room

Billiard Responsibles (1-2 persons)

• Is responsible to organise billiard events in guild room
• Takes care for billiard table and equipment of it

Historians (1-2 persons)

• Coordinates guild’s archiving
• Takes care to carry archived objects to Polytechic Museum and/or AYY’s archive
• Makes a brief story about most significant events of the guild year after every year
• Is committed to be a contact person when someone is asking about what happened in guild when it was historian’s responsible year

Store responsibles (1-2 persons)

• Responsible for the sales of Prodeko merchandise

TEK Contact Person

• Keeps contact to TEK
• Informs guild members of TEK and issues related to it
• Represents Prodeko in TEK Academy

Terrace committee

Terrace Titan

• Leads the terrace team
• Coordinates events held on the Prodeko terrace

Terrace team

• Maintains the guild’s terrace and is responsible for developing it
• Takes care of purchases related to the terrace
• Organizes the terrace season opening and ending events

Goodies

Goodies (3-4 people)

• Promotes the well-being of the guild members and the development of the guild’s sense of community through its activities
• Supports the Vice President in organizing refreshments for the guild officials
• Supports in organizing the wellbeing coaching and failure nights
• Ideates how the guild and its members could act more responsibly

• Leads the culture division together with the Minister of Internal Affairs
• Plan and organise guild’s culture events with Minister of Internal Affairs

Seminar Committee

Seminar Tsar (1-2 persons)

• Is one of the special responsible officials
• Is responsible for organising the whole Prodeko Seminar
• Coordinates cooperation with Seminar Responsible (chosed by Prodeko Alumni Board amongst them) and department’s contact person
• Takes care to keeping contact with Prodeko Board

• Is responsible for budgeting the seminar and planning corporate relations

• Are responsible for summer job evening and summer job guide
• Help Minister of Corporate Relations and Minister of Excrursions with corporate relations of the guild
• Are responsible for updating guild’s reqruiting forum and Prodeko Jobs

External Relations Division

Overall tasks: to promote guild member internationalization, take care of relations to other guilds and study organizations, help organising ESTIEM-events and to organise TIMES and Jr. TIMES.

ESTIEM Responsible

• Is one of the special responsible officials
• Works as a Local Responsible of ESTIEM Local Group Helsinki and as a ESTIEM contact person to guild members
• Is responsible by one’s part to internationalization of the guild members via ESTIEM
• Is responsible to informing guild members about ESTIEM related issues and communicates them with board
• Is responsible for ESTIEM-cooperation with Athene
• Represents LG Helsinki in ESTIEM-events (CM and Nordic ReCoM)

ESTIEM émissaire

• Supports ESTIEM responsible in ESTIEM activities
• Shares responsibility of ESTIEM events
• Represents LG Helsinki in ESTIEM-events (CM and Nordic ReCoM)

External Relations Offcials (2 persons)

• Organizes the guild’s bar crawl trips and are responsible for getting the tickets
• Participates in organizing the Tutanic cruise
• Oversees and supports the organizing of the Freshers’ exchange event.
• Organizes the guild’s international events
• Represents LG Helsinki in ESTIEM-events (CM and Nordic ReCoM)

IEM Days Committee

IEM Days Coordinators (1-3 persons)

• Plan and organise IEM Days when located in Otaniemi

• Helps to organize the IEM Days when located in Otaniemi

Study Division

All guild members who are interested about study issues and advocacy can attend Study Division and its conversations, also without specific guild official role.

Mentoring manager

• Organises and develops guild’s mentoring programs together with Minister of Studies

Major Resposibles (4 persons)

• Major Responsibles work as contact persons issues related their own major’s studies
• Keeps contact with the responsible professors of each major
• Help Minister of Studies with advocacy related to Master phase’s studies
• Participates in organizing the major programs info event

Student representatives of University’s administration (AYY Chooses)

• Also known as Hallopeds
• If they want, can also work as a guild official in Prodeko
• Execute advocacy together with Minister of Studies
